Availability

Your availability is the set of hours you’re open for bookings. Availo combines it with each event type’s rules to work out exactly which time slots to offer — and it handles time zones and daylight saving for you.

Schedules

Availability is organized into schedules. Every host starts with one default schedule called Working hours (Monday–Friday, 9:00–17:00). You can edit it, and event types use it unless you assign a different one.

Each schedule has:

  • A time zone — the zone your weekly hours are expressed in. Set this to where you are. Invitees always see slots converted to their own time zone automatically.
  • Weekly hours — the recurring hours you’re available.
  • Date overrides — exceptions for specific dates.

Weekly hours

For each day of the week, add the blocks of time you’re available. For example:

  • Monday: 9:00–12:00 and 13:00–17:00 (a lunch break in between)
  • Tuesday: 9:00–17:00
  • Wednesday: 10:00–15:00
  • Thursday–Friday: 9:00–17:00
  • Weekend: leave empty

Use + Add hours to add a second (or third) block to a day, and the × to remove one. Leave a day with no blocks to be unavailable that day.

Date overrides

Overrides handle the exceptions that don’t fit a weekly pattern:

  • Block a whole day — going on holiday? Mark the date unavailable and no slots are offered, regardless of your weekly hours.
  • Special hours for a date — working a half-day on a public holiday? Set custom hours for that specific date and they replace the weekly hours just for that day.

Add an override by picking a date, then either ticking Unavailable all day or entering start and end times. Existing overrides are listed with a checkbox to delete them.

How slots are calculated

When someone opens your booking page, Availo works out the available times like this:

  1. Start with your weekly hours for each day in the booking window (in the schedule’s time zone).
  2. Apply any date overrides.
  3. Remove times blocked by existing bookings, plus their buffers.
  4. Remove times inside the minimum notice window.
  5. Keep only start times that fit the duration and land on the increment grid.
  6. Drop any day that has hit its maximum bookings.
  7. Convert everything to the invitee’s time zone for display.

All arithmetic is done in UTC internally, so bookings never drift by an hour across a daylight-saving change.

Time zones, explained

  • Your schedule is in your time zone.
  • The invitee sees slots in their time zone (detected from their browser, with a manual selector to change it).
  • A booking at “2:00 PM your time” shows as the correct local time for someone booking from another country, and both calendar invites are correct.

Always use a city-based time zone in Settings → General (e.g. Europe/London), not a fixed UTC offset. Only city zones know when daylight saving starts and ends.

Multiple hosts (Pro)

With Availo Pro and the host role, each team member keeps their own availability. Administrators can switch between hosts using the Host selector at the top of the Availability screen. Team event types combine or intersect these schedules — see Team scheduling.
