Managing bookings

Everything you need to see, create, and manage bookings lives under the Availo menu.

The bookings dashboard

Availo → Bookings lists every booking, newest first. Each row shows the invitee, the event type and host, when the meeting is (in your site’s time zone), the status, and when it was booked.

Filter by status (confirmed, pending, cancelled, rescheduled) and by event type, then click Filter. Use Export CSV to download the current, filtered list.

Statuses

  • Confirmed — a live, upcoming (or past) booking.
  • Pending — a request awaiting approval (Pro approval mode).
  • Cancelled — cancelled by the invitee, by you, or (Pro) declined.
  • Rescheduled — moved to a new time; the original is marked rescheduled and a new confirmed booking is created.

Viewing a booking

Click View on any row to open the booking detail screen. It shows everything about the booking in one place:

  • Status, event type, and host
  • Invitee name and email
  • The time in both your site’s time zone and the invitee’s time zone
  • Location, source, and when it was booked
  • Submitted information — every answer to your custom questions
  • A cancellation reason, if one was given

Cancelling a booking

From the bookings list, use the Cancel row action on any upcoming confirmed booking. The invitee is automatically notified by email and sent an updated (cancellation) calendar invite.

The booking calendar

Availo → Calendar shows a month grid of all your bookings, colored by event type. Cancelled and rescheduled bookings appear dimmed. Click any entry to open its detail screen, and use the arrows to move between months. It’s the fastest way to see your week or month at a glance.

Manual bookings

Need to add a booking yourself — from a phone call, say? Go to Availo → Add Booking:

  1. Choose the event type.
  2. Enter the invitee’s name and email.
  3. Pick the date and time (in your site’s time zone).
  4. Optionally tick:
  • Send the confirmation email — on by default; untick to add a booking quietly.
  • Create even if outside availability — override the availability check to force a booking into a time that wouldn’t normally be offered.

Manual bookings behave like any other: reminders are scheduled, and calendar sync and video links apply automatically wherever they’re connected (Google Calendar & Meet are free; Zoom requires Pro).

Exporting to CSV

On the bookings list, Export CSV downloads a spreadsheet of the currently filtered bookings. It includes the invitee details, both site-time and UTC start/end times, the status, location, source, and every custom question answer — ready for a CRM import or your own reporting. The file is UTF-8 with a byte-order mark so accented characters open correctly in Excel.

Team members: the host role

Availo includes a Availo Host role for team members who should manage their own scheduling without full admin access.

  1. Go to Users → Add New (or edit an existing user).
  2. Set their role to Availo Host.

A host can:

  • Manage their own event types
  • Set their own availability
  • See and manage their own bookings and calendar
  • Connect their own Google Calendar (free) and, with Pro, manage their own iCal feeds

A host cannot see other hosts’ bookings, change site settings, or access the rest of wp-admin. Administrators see and manage everything, and can switch between hosts on the Availability and (in Pro team events) assignment screens.

Assign an event type to a host by setting the Author of the event type to that user (use the Author box in the event editor, or Quick Edit).
