Team scheduling (Pro)

Availo Pro turns a single-person booking tool into a team scheduling system: route bookings across a team, run classes and webinars with multiple seats, and require your approval before a booking is confirmed. These options appear in the Pro booking options box on each event type.

Approval workflows

Turn on Require approval and bookings from your website become requests instead of instant confirmations.

How it works

  1. The invitee books as normal, but the slot is held as pending (nobody else can take it).
  2. The invitee gets a “Request received” email — with a manage link, but no calendar invite yet (nothing is confirmed).
  3. You get a “Booking request” email and see the request under Availo → Bookings (filter by pending).
  4. On the pending row, click Confirm or Decline:
  • Confirm — the booking becomes confirmed and the invitee gets the real confirmation with a calendar invite.
  • Decline — the booking is cancelled and the invitee is notified.

The invitee can withdraw their own pending request from their manage link at any time.

Bookings you create yourself under Add Booking skip approval — you’re the one approving, after all.

Group events (seats per slot)

Set Seats per slot above 1 to run group sessions — classes, workshops, webinars, office hours. The same time stays bookable until it fills up.

  • Set seats to 10 and up to 10 people can book the same slot.
  • Once the slot is full, it disappears from the calendar.
  • Capacity is enforced safely even if several people book at the same instant — you can never oversell a seat.

Team host pools

Add Additional hosts to an event type to share it across a team. Any user with the Availo Host role (or an admin) can be added. Then choose how bookings are distributed:

Round-robin

Invitees see the combined availability of everyone in the pool — if any host is free at a time, that time is offered. Each booking is automatically assigned to the free host with the fewest upcoming bookings, so the load is shared fairly. Each host’s own availability schedule is respected, and the booking (and its notification) goes to the assigned host.

Best for: sales teams, support calls, any “talk to someone on the team” booking where it doesn’t matter who.

Collective

Invitees only see times when every host in the pool is free, and the booking blocks all of their calendars — including their other event types. Everyone on the panel gets a notification.

Best for: panel interviews, multi-person demos, any meeting where the whole group must attend.

Approval, seats, and team modes can be combined with the calendar and video integrations — for example, a round-robin sales call that automatically creates a Zoom meeting on the assigned rep’s behalf.
